As an Onboarding Coordinator, you will manage the vital operational window that bridges the gap between a candidate being hired and their first few weeks on the job. You will be responsible for streamlining the post-hire journey to ensure new specialists integrate perfectly into our Australian clients’ unique workflows and company cultures. By ensuring a friction-free ramp-up period, your work directly reduces early turnover and builds workplace confidence from Day 1.
WHAT YOU’LL DO
Workstation & System Provisioning
- Software Access Setup: Coordinate the creation and provisioning of internal tool licenses, email accounts, and communication profiles (e.g., Slack, ClickUp, Jira, Google Workspace).
- Security Alignment: Ensure new hires complete necessary security access protocols, sign required compliance documentation, and understand company data handling policies.
- Equipment Coordination: Track and verify that hardware setups, home-office configurations, and connectivity baselines meet operational standards.
Training & Culture Integration
- First-Week Agendas: Plan, schedule, and distribute clear first-week educational agendas, operational roadmaps, and training schedules.
- Cultural Onboarding: Conduct orientation sessions that introduce new hires to agency communication styles, accountability guidelines, and team expectations.
- Sync Facilitation: Schedule initial team introductions and manager meet-and-greets to establish immediate workplace connection.
Progress Monitoring & Reporting
- Touchpoint Management: Conduct regular check-ins during the first 30 days to collect feedback, flag alignment issues, and answer workflow questions.
- Process Improvement: Track onboarding milestones and update internal training databases to continuously improve onboarding pathways.
- Real-Time Sync: Work in full alignment with Australian time zones (AEST/AWST) to provide real-time support during the client’s core working hours.
WHAT YOU BRING
- Experience: ~2–4 years of experience in human resources, project coordination, corporate onboarding, or remote client operations.
- Ecosystem Literacy: Deep familiarity navigating digital workspace tools such as Slack, Notion, ClickUp, Jira, and modern HRIS dashboards.
- Process Management: Exceptional organizational habits with a proven ability to manage multi-step checklists and timelines without missing details.
- Interpersonal Instincts: Outstanding emotional intelligence, empathy, and a welcoming approach focused on reducing new-hire anxiety.
- Soft Skills: Absolute clarity in English communication (both written and verbal) and a proactive approach to solving operational bottlenecks.
